Realtimegolf is a golf club focused windows driven integrated golf management system and is well suited for all types of golf clubs . The realtimegolf system is directly downloaded onto the golf club computer network and puts the management module in the managers office, the administrators booking sheet at the the Pro-Shop, and the public booking kiosk at convenient places around the golf club giving golfers direct 24 hour access to booking sheets, handicap information, and general golf club information. The live, color-coded, and visible real time booking sheet and the system database is controlled and owned by the golf club. All information and course activities are recorded on the golf club computer database for future marketing and management use. The system also offers golfers direct internet and visible access to the club’s own public booking sheet for making bookings and payments only. Most other booking systems are booking request systems where a third party supplier , like a call centre, or third party internet website, operates between the golfer and his club. The Realtimegolf system is a comprehensive and golf club networked management system incorporating the below modules operating off one integrated database. Realtimegolf tracks all golfer and course activities. This requires that first-time visitors must first register on the golf club’s realtimegolf booking system. They can self register using the public golfer kiosk phone in and be registered by the golf club personnel who will use the administrative booking sheet. No initial registration is required for club members who will be pre-loaded into the golf club database by Realtimegolf.

Many golf clubs rely on income from group bookings and find it difficult and costly to monitor, manage, and control their group bookings. Realtimegolf has developed a group bookings module to support management with its multiple bookings. The group representative uses the group booking icon on the public booking sheet to open a group booking request form . Once completed, the Realtime system emails the completed request form back to the golf club. The Golf club blocks out the requested day of play, sets up the various requested parameters, and emails back to the group representative a booking acceptance document, which details costs, indicates deadlines for confirmation and payment, and a password which allows the group representative to edit the public booking sheet with names of players and their handicaps. On a weekly basis the Realtime system sends automatic email reminders to the group representative to confirm the booking. If the confirmation deadline date is not met the system automatically cancels the booking request. Once confirmed, and one week prior to the booked date of play, the Realtime system sends automatic daily reminders to the group representative requesting payment. If the payment deadline is not met the booking is automatically cancelled. The Realtime system generates group bookings reports which detail all bookings, contact details, and deadlines. Group text turns red when deadlines are not met making it easier for the golf club to monitor and manage the process.

All bookings must be marked as arrived to avoid a no-show penalty (see no show module). Arrivals can only confirmed using the admin booking sheet and access to the admin booking sheet is password protected. Realtimegolf offers an arrivals override feature which can override /edit the golfer’s name, and/or green-fees category. The system produces an arrivals audit report with details of the override and name of club personnel processing the override. Realtimegolf produce a green-fee slip detailing the tee-off. All golf clubs suffer from no-shows and find it difficult to recover this lost income. Realtimegolf has developed an automated no show module based on a no-show penalty which is activated in the system after the golfer has failed to arrive for a pre-determined number of booking. Using the Realtime computerized database, the no-show module monitors each golfer’s bookings, arrivals and no-shows. The golf club is in complete control .The number of no shows required to activate the penalty (strike level) as well as the level of penalty is set by the golf club through the Realtime software. The no show income recovery requires no management time or effort. Once the parameters are set in the administration module the no show system is automated to recover no show revenue. The system monitors Every golf booking and arrival. Once a golfer has exceeded the allowable number of no shows setup by golf management the system will activate this golfers “no show” status. Next time this golfer arrives at the golf club to play the system will automatically add a no show penalty to his green fee. The golfer’s choice is to pay this penalty and play golf or go home. Once the no show is paid the system will automatically reset this golfers no show count to zero. Should a golfer have a good reason for not arriving to play he may contact the golf club manager at whose discretion a non-arrival activity can be reversed. The Realtime software produces a no show activity report, by player, member or visitor, for any pre-defined period of time.

Remote score entry and handicapping facility

Golf members, visitors, tourists and social golfers can all enter their scores and query their handicaps remotely using SMS, IVR voice, or Internet. Golfers can enter their scores from anywhere in the world and receive their projected handicaps back via SMS or Voice almost immediately. Realtimegolf support official SAGA handicaps and unofficial handicaps for the tourist or social golfer. The SMS and Voice score entry is also open to golfers who belong to clubs that do not use the Realtimegolf handicapping software.
